Privacy Policy – aibuildhubs.com (Mail Order Helper Add-on)

This Privacy Policy explains how aibuildhubs (“we”, “our”, “aibuildhubs.com”) collects, uses, and protects data when you use the Mail Order Helper Add-on (“the Add-on”). The Add-on is an AI-powered Gmail integration that assists users in creating, sending, and managing supplier purchase orders inside their Google Workspace account.

We comply fully with the Google API Services User Data Policy, including the Limited Use requirements. We do not use, transfer, or share Google user data for any purpose other than the limited and user-initiated functionality of the Add-on.

1. Information We Access

The Add-on accesses Gmail data only when a user explicitly initiates an action, such as creating or sending a supplier purchase order. We do not access Gmail content in the background, and we do not store Gmail messages, bodies, attachments, or personal email content.

The Add-on may temporarily read, compose, and send emails strictly to complete the user-requested workflow. No Gmail data is used for advertising, profiling, analytics, or machine learning.

2. Information We Store

We store only the operational data necessary for the Add-on to function:

  • Supplier lists (CSV files)
  • Product lists (CSV files)
  • User authentication identifiers (Firebase UID and email address)

We do not store passwords, Gmail content, or any other personal user data.

User data is stored in Google Firestore under each user’s isolated path (users/{uid}/…). No user data is ever combined or shared with another user.

3. Data Usage

We use stored data only to:

  • Generate purchase orders
  • Send order-related emails the user explicitly requests
  • Maintain supplier and product lists within the Add-on
  • Improve accuracy and functionality

We do not sell, share, or transfer data to third parties.
We do not use data for marketing or advertising.

4. Data Security

All data transmission uses encrypted HTTPS connections.
Access to backend services is secured by IAM policies, Firebase Authentication, and Firestore Security Rules.
Each user’s data is fully isolated, and only authenticated users can access their own data.

5. Data Retention and Deletion

Data is retained while the user maintains an active account.
Users may request deletion at any time by contacting: support@aibuildhubs.com.

6. Limited Use Disclosure

The Add-on adheres to Google’s Limited Use requirements:

  • Data is not transferred to humans.
  • Data is not used for ads.
  • Data is not analyzed or mined beyond the Add-on’s core user functionality.
  • Data is only used to provide the feature the user asked for.
